Data controller
The controller of personal data collected through the coworking cameras is:
Reengineering Nexus di Mariafrancesca MolinaroViale delle Medaglie d'Oro 37, 87100 Cosenza (CS)
IT04007590781
Stated purposes and scope of use
Video surveillance is intended to protect people and property, prevent assaults and theft, and provide security at the coworking. The controller has also stated a need to check access on public holidays, attendance by cleaning contractor staff on contracted days, and performance of the cleaning service. These additional uses require a specific assessment of lawfulness, necessity, proportionality and safeguards for workers. Describing them on this page does not authorise monitoring of work performance.
Data subjects, legal basis and safeguards
Cameras may capture employees, collaborators, cleaning contractor staff and external visitors passing through the corridor. For the protection of people and property, the relevant basis is the controller's legitimate interest in security under Article 6(1)(f) GDPR, subject to an assessment of necessity, proportionality and balancing against the rights of data subjects. In workplaces, the conditions and safeguards under Article 4 of Italian Law 300/1970 must also be respected, where applicable. As of this notice, checks concerning worker monitoring have not been completed and specific notices for the additional stated uses have not been provided. This notice therefore does not attest that those requirements have been met or that those uses are lawful. Entering the premises does not constitute consent to video surveillance.
Monitored areas and processing methods
There are 2 cameras, model Reolink RLC-843A, in the coworking corridor only. There are no cameras in the rooms. Video recording is triggered only by motion detection. Audio recording is disabled. All earlier recordings, including those containing audio, have been deleted.
Image retention
Recordings are retained on a resident SD card for 1 month. At the end of the retention period, they are deleted by manually resetting the SD card, without keeping copies. The controller has linked this period to monthly checks of the cleaning service and access on public holidays. This period describes the stated management of the system: assessment of its necessity, proportionality, less intrusive alternatives and the lawfulness of the stated uses has not yet been completed.
Access, recipients and transfers
Only Mariafrancesca Molinaro, the data controller acting in person, may access the recordings. No other person is authorised to access them. Images are stored on the resident SD card, are not distributed to cloud storage and can only be viewed locally through the official Reolink mobile app. Images are not intended for public dissemination. Any requests from competent authorities are assessed in accordance with legal obligations and requirements. The absence of cloud distribution of recordings does not attest to the absence of any technical processing by services linked to the app, which must be checked against the actual configuration.
Rights and requests to the controller
You may contact the controller to request confirmation of processing and access to your personal data and, where applicable, rectification, erasure or restriction of processing. For processing based on legitimate interests, you may object on grounds relating to your particular situation. Where possible, specify the day, approximate time and area of your visit without providing excessive data: the controller may request information needed to verify your identity while protecting other people captured in recordings. Requests are answered without undue delay and normally within one month, subject to any justified extensions permitted by the GDPR. You may lodge a complaint with the Italian data protection authority, www.garanteprivacy.it.
Notice and signs on the premises
This notice concerns video surveillance at the coworking and is separate from the privacy notice for the website and contact forms. The sign on the premises refers to reeng.space and the administration office for full information. Publication makes the stated operation and uses of the system accessible; it does not replace any agreements, authorisations, assessments or specific notices required by law.
